04 / PRACTICAL AI AUTOMATIONS

Practical AI automation for missed calls and quote follow-up.

Start with one repetitive task: a missed call, an unanswered quote or a lead that needs the right person. Build a clear workflow with a human handoff.

THE WORK / EXPLAINED

Useful foundations.
Clear deliverables.

We start with your business, capacity and priorities, then agree on work you can review and understand.

01

Missed-call recovery

Where your phone provider supports it, send an approved message after a missed call and route the response to your inbox or CRM.

02

Quote and enquiry follow-up

Use agreed triggers and timing to follow up on open quotes or notify your team about a new enquiry. Stop messages when a customer responds or opts out.

03

Testing and control

Define message content, exception handling and human escalation. Scenario testing, a team walkthrough and a 14-day post-launch adjustment window are included.

A strong fit if…

You already receive enquiries but lose time copying details, checking for replies or remembering which quote needs follow-up.

Scope boundaries

Phone and platform compatibility must be confirmed. Custom APIs, additional workflows, complex CRM cleanup and ongoing monitoring are quoted separately.

FROM FIRST CONVERSATION TO HANDOVER

A practical path forward.

01

Review

Understand your goals and current setup.

02

Agree

Confirm deliverables, access, cost and timing.

03

Build & test

Review the work and test the customer journey.

04

Handover

Approve launch and know what happens next.

BEFORE WE START

Your questions.
Plain answers.

Does every workflow need AI?

No. A simple rule is often enough. AI is considered when it helps with tasks such as summarising or classifying information, with review and clear boundaries.

Can it work with our existing phone number?

That depends on your provider and supported integrations. We confirm compatibility and any number or routing changes before you approve the setup.

How are consent and customer information handled?

We agree on required data, access, retention, consent, opt-out handling and escalation before launch. Your business approves the messages and workflow; we review platform requirements during scoping.

Can an automated message promise a price or appointment?

Only when approved rules and reliable information support it. Uncertain questions, complaints and exceptions should go to a person rather than receive an invented answer.

DETAILS THAT HELP YOU DECIDE

A service you can understand before you buy.

Start with one repeatable problem

Automation is useful when a specific step is being missed or repeated: a new enquiry needs an acknowledgement, a quote needs a reminder or an estimate request needs to reach the right person. We map that step with you before recommending tools. If your team already follows up reliably and has no capacity for more work, another automated message may not be the right priority.

Missed-call recovery: what must be checked

A text-back workflow depends on a supported phone system and a number that can send and receive messages. We confirm whether the existing number can be used, when a missed call should trigger a reply and how staff take over the conversation. We also scope consent, message content, opt-outs, quiet hours and escalation. We do not assume every missed caller can receive an unsolicited text. Phone subscriptions, numbers, SMS and usage fees are separate from setup.

Quote follow-up with a clear stopping point

A useful quote reminder refers to a real enquiry and invites a human response. We agree when a reminder is appropriate and what stops it: a reply, a declined quote, a booking, an opt-out or a staff action. The workflow should not keep contacting someone after the outcome is known. Your team approves the wording and can identify who owns the next step. We test with labelled sample records before using genuine leads.

What a starting project covers

Practical Automation setup starts from $950 CAD before applicable taxes for one defined workflow using up to two supported tools. It includes message and handoff design, configuration, scenario testing, a walkthrough and a 14-day post-launch adjustment window. Custom integrations are quoted separately. Before launch, we test normal delivery, invalid contact details, duplicate triggers, replies and failure handling. We agree who maintains subscriptions and who is alerted if the workflow stops.

Will automation replace my receptionist or sales calls?

The starting workflows support acknowledgement, routing and reminders. They do not replace human judgement, estimating or handling complaints and urgent requests.

Can you connect the software I already use?

Often, but compatibility must be checked. We review supported integrations, account permissions, subscription limits and data handling before confirming a fixed scope.
